Keeping your project on track

Commissioners guides

Helping you stay on time and on budget…

We understand that if you never commissioned a video before, it might feel pretty daunting. But, don’t worry- we’ll take that stress away. That’s because project management is all part of the Dependable service.

One of the first things we’ll do is create a timetable, built around your deadlines. We speak your language. We won’t bamboozle you with techy jargon- we’ll tell you in plain English who needs to do what and when.  Here’s a sample timetable so you can see what we mean. DP Project timetable sample

As you can see, it aligns with our creative process, Concept, Create ,Connect.

Key milestones

At each stage of the production process there are key markers that need to be signed off and agreed by all parties before we move to the next stage. In this way we can make sure the project stays on message, on budget and on time.

  • Concept.  This stage is often called pre-production. It’s where we come up with the creative concept for your video but don’t worry, we won’t all sit round and scratch our beards for weeks, we’ll set clear deadlines: When you can expect a script from us and when we expect you to give us feedback or approve it.  At the same time we’ll be planning our production schedule, finding locations and confirming interviews. We’ll also be able to give you a very precise idea of budget. In this way you should know exactly what your film will look like, when you’ll get it and what it will cost before anything goes into production.
  • Create. This is the stage that we make your film. That might be filming you or your clients or even covering an event. However, it may not require any filming and be created in post production either from existing footage or by creating infographics or animation. Whichever way we make your film,  we’ll outline how long it will take us and when you can expect to see a first draft. We’ll  also indicate when we’d like to hear what you think, so you can schedule time for feedback with your wider project board and so that we can ensure we can fit in any amends and keep your project on track. Providing these dates are adhered to, we can ensure we’ll deliver your final film or films on a predefined date.
  • Connect. In the Connect phase we work with our clients to maximise the impact and value of the video. This can be anything from providing social media clips to a social media distribution campaign.  Any such distribution strategy will have been discussed in the Concept stage but it is in the Connect stage that we would execute the plan, creating relevant channels and marketing campaigns and later reviewing results and providing a report.

Moving at your pace…

We find it’s best to provide deadlines for all parties. We’ll work hard to keep the project on track and work proactively to ensure you have everything you need to meet your own deadlines. But we also totally understand that things change and that you may need to shift deadlines at your end ,to move quicker or delay things while your prioritise other demands. So, we’re flexible and ensure our deadlines are informed by yours. And we are very proud of the fact that in 14 years, we’ve never missed a client deadline.
